Planning Time and Work Organization Effectively
This seminar is about how work productivity can be increased and better results achieved. It is also about effectively managing time and organizing one’s work, taking into account one’s most important priorities, both at work and in one’s personal life.
Time management will be looked at within the framework of this course, not in its classical interpretation of “how to do more in a day”, but rather as the totality of skills, which assist in evaluating the quality of the time. It will focus on what is most important, not most urgent. In this way, one can consciously structure one’s life, setting professional and personal goals and planning one’s work and free time.
Target audience: anybody who wants to increase their work productivity, to plan their time and that of their subordinates effectively, and in accordance with their work and personal priorities.
Aim of the course: To provide participants with knowledge and practical skills in time and work planning and organization to achieve better and more effective results.
- Knowledge and understanding about internal and external hindrances to effective work;
- Acquiring the main principles about work and time planning, setting goals and selecting priorities;
- The knowledge and skills to apply specific planning instruments, to be able to organize one’s work and time more constructively to achieve a more productive result;
- Reducing the level of stress at work;
- An individual time management plan for each participant.
Duration: 1 day, 6 hours.
Mini lectures, situation analyses, practical work individually and in groups, discussions, business-like game elements.
1. Introduction. Getting to know each other. Agreement on the pace of learning and participants’ expectations.
2. Basic principles of time management:
- Structuring and planning time;
- Benefits and losses of planning time;
- Motivating oneself to commence regular time planning;
- The 80/20 principle – a non-traditional approach to time management.
3. The psychological dimension of performing everyday obligations:
- My attitude – what is it like, to what degree am I aware of it, how does this influence my productivity and cooperation with my colleagues?
- My motivation;
- Pro-activity – in everyday work, in relations with colleagues and in one’s private life.
4. Time management and stress:
- Does a firm plan for one’s time and pedantism allow one to achieve more, or does it create additional stress?
- How to find the optimal approach to time planning?
- How to manage one’s stress in critical situations and in everyday life?
- Time planning and actions in crisis situations;
- Emotional intelligence in the skill of managing one’s time, to lead oneself on the path to set goals.
5. Clear goals in the time management context:
- How do clear goals help one save time?
- Do I know my goals?
- Professional and personal goals;
- What do I want to achieve and when?
6. Determining and observing priorities:
- How do I select the tasks to be achieved?
- Is it the most important or urgent ones?
- Personal and work priorities, reconciling these;
- The Eisenhower method in time and priority planning;
- Avoiding the delay of unpleasant work.
7. Work delegation:
- Psychological hurdles;
- The risks and benefits of delegation;
- Productive delegation.
8. Time management in a team and time thieves:
- How do we communicate with our team members about our plans;
- Responsible collaboration;
- Are we aware of what steals our productive time?
- Do we notice when we steal time from others?
9. My individual time plan (individual practical work):
- Increasing personal effectiveness;
- My most important time planning issues;
- The development of an action plan for managing time more effectively.
